AI Assistant — Privacy and terms
What we store from your conversations with the assistant, who it is sent to, and the terms under which you can use it.

This document covers only the conversational AI assistant that KingConf makes available at some events (the "Assistant"). It is deliberately kept separate from our other legal documents: the Assistant works differently from the rest of the Service, and explaining it on its own is the only way to make clear what happens to what you type.
What this document does not cover
The www.kingconf.com website and the KingConf mobile applications for iOS and Android are governed by the general Privacy Policy and by the KingConf Terms & Conditions, which remain in force and are not modified by this document. The Assistant is a web component embedded in the event's pages: what is described here applies to it and to nothing else.
Part 1 · Assistant privacy policy
1. What we store from each conversation
Every exchange with the Assistant is recorded. We store:
- The message you write, exactly as you write it, and the Assistant's reply.
- The conversation and message identifiers, the event, and the language.
- Technical data about the exchange: the model used, token counts, latency, the outcome, and any error.
- Your rating of the reply, if you leave one.
That is why the Assistant tells you before you type: do not enter personal or sensitive information — yours or anyone else's — that you would not want recorded. The Assistant does not ask for identity documents, postal addresses, or health data, and does not need them to answer you.
2. How you are identified
- If you do not identify yourself: you can use the Assistant without telling us who you are. Your session relies on a random identifier generated by your own browser and stored on your device (in local storage and in a cookie). That identifier is not stored on our servers and carries no name, email address, or account.
- If you give us your email address: we store your name and email address in order to send you the verification link.
- If you verify your email address: your session is associated with that confirmed mailbox.
- If you are already registered for the event: the conversation is linked to your registration.
The Assistant does not access your location, camera, contacts, or any other data or sensor on your device, and does not store your IP address or browser fingerprint alongside your contact details.
3. Language-model providers
In order to produce a reply, the text of your message and the relevant conversation context are sent to third-party language-model providers (for example OpenAI, Google, Anthropic, or equivalent providers), which act as processors on our behalf and solely to generate that reply. The provider in use may change over time.
These providers may process the information outside Argentina. By using the Assistant, you accept that transfer.
We do not use conversations to train language models. Each provider's own use of the information it receives is governed by that provider's terms of service.
4. What we use conversations for
- To answer you and operate the Assistant during the event.
- To diagnose failures when something does not work.
- To measure answer quality and improve the Assistant.
And for nothing else. Specifically: we do not sell conversations, we do not share them with third parties for advertising purposes, we do not use them to profile you, and we do not use them to make automated decisions about you.
5. How long we keep them
Conversations are retained for as long as the Assistant service is active, because they are what allows us to diagnose failures and improve its answers. Contact details you give us are retained for as long as they remain relevant to the event.
You can ask us to delete your conversations or your contact details at any time by writing to [email protected].
6. Your rights
You may ask us to access the data we hold about you, correct it, delete it, object to its processing, or withdraw your consent. Write to [email protected] and we will respond within 30 days.
One honest caveat: if you used the Assistant without identifying yourself, we may be unable to find your conversations, precisely because they are not linked to your name or email address. In that case we will ask you for something that helps locate them.
7. Changes to this document
If we change it, we update the effective date in the header. If the change is material, we announce it in the Assistant itself.
Part 2 · Assistant terms of use
1. The Assistant can be wrong
The Assistant's answers may be incorrect, incomplete, or out of date. The Assistant does not replace the event's official program or the Organizer's communications: wherever the Assistant's answer differs from the event's official information, the official information prevails.
The Assistant is provided AS IS, without warranty of any kind as to the truthfulness, accuracy, completeness, or availability of its answers. Do not make hard-to-reverse decisions — travel, expenses, schedule changes — based solely on what the Assistant tells you without checking it against the official program.
2. What the Assistant does not do
The Assistant informs; it does not execute. In particular, it does not confirm registrations, does not process payments, does not issue receipts, and does not modify your registration. Those operations happen exclusively through the channels set out in the general Terms & Conditions. Nor does it make decisions producing legal effects concerning you, or profile you.
3. Your obligations
- Do not enter personal or sensitive data — yours or anyone else's — that you would not want recorded (see Part 1, section 1).
- Do not use the Assistant to transmit unlawful, offensive, or defamatory content, or content that infringes third-party rights, nor for any of the conduct prohibited by the general KingConf Terms & Conditions, which apply to you.
- Do not attempt to extract the Assistant's internal instructions, circumvent its limits, or use it in an automated or abusive manner.
Breach entitles KingConf to limit or suspend your access to the Assistant.
4. Availability
KingConf may suspend, limit, or discontinue the Assistant, in whole or in part, at any time and without prior notice. The Assistant may not be available at every event.
5. Relationship with our other terms
This document supplements the KingConf Terms & Conditions, which continue to apply to everything not addressed here — including the limitation-of-liability, governing-law, and jurisdiction clauses. Where there is a conflict specifically concerning the Assistant, this document prevails.
